This policy is designed to comply with Discord's Developer Terms of Service and Developer Policy, as well as applicable privacy laws and regulations.

2. Information We Collect

2.1 Discord Bot Data

When you interact with the Bot, we collect:

Server information - Server ID, server name, member count, channel IDs where the Bot operates
User information - Discord user ID, username, display name
User roles - Role memberships within a server (checked for permission purposes, not stored)
Review content - Text of reviews and vouches submitted through the Bot, ratings, timestamps
Profile pictures - Your Discord avatar is downloaded and stored on our servers to display alongside your reviews
Interaction data - Button clicks such as "Useful" marks, report submissions

2.2 Website Data

When you visit or use the Website, we collect:

OAuth2 data - When you log in via Discord to access the Control Panel, we receive your Discord user ID, username, avatar, discriminator, and a list of servers you administrate
Session data - We use PHP sessions (cookies) to keep you logged in to the Control Panel
Configuration data - Bot settings you configure through the Control Panel

2.3 Custom Bot Requests

If you submit a Custom Bot request, we collect:

Your email address
Bot name and configuration preferences
Discord server information
Package selection and payment status

2.4 Vote Data

When you vote for ReviewHub on top.gg, we receive and store:

Your Discord user ID
Vote timestamp and Premium expiration time

2.5 Server Claim and Transfer Data

When you use the server claim or review transfer features, we store:

Claim records linking your user ID to a server
Transfer history including source/destination servers and review counts

3. How We Use Your Information

We use the collected information for the following purposes:

To provide and maintain the Bot's functionality, including posting review embeds in Discord
To display reviews, ratings, and avatars in Discord channels
To generate and display public user profiles on the Website, including trust scores, review history, and badges
To power the Discover page, allowing anyone to search for Discord users by username or ID
To provide the Control Panel for server configuration
To process Custom Bot requests and communicate regarding orders
To track and grant Vote Premium benefits
To prevent abuse and enforce our Terms of Service
To improve and optimize the Service

We do not sell your data to third parties. We do not use your data for automated decision-making or profiling purposes beyond trust score calculation.

4. Public Visibility of Data

This is important: Certain data processed by ReviewHub is publicly accessible on the Website without requiring login:

Profile pages - Your username, display name, avatar, trust score, badges, review history, rating distribution, and activity chart are publicly visible at reviewhubs.info/u/[your-user-id]
Discover page - Recently active users (username, avatar, server name, latest rating) are displayed on the Discover page
Review content - The text of reviews you submit, along with your username and rating, is visible on the profile of the person you reviewed
Discord embeds - Reviews are posted publicly in the configured Discord channel, visible to anyone with access to that channel

By using the Service, you consent to this public display. If you wish to have your data removed from public view, see Section 8.

5. Avatar Storage

When you submit a review or vouch, your current Discord avatar is:

Downloaded from Discord's CDN
Stored locally on our servers with a unique filename
Attached to your review embed in Discord
Displayed on your public profile on the Website

Avatar files are retained for the lifetime of the associated review. If a review is deleted, the associated avatar file may also be removed. Changing your Discord avatar does not automatically update previously stored copies.

6. Cookies and Sessions

The Website uses:

PHP session cookies - Essential cookies to maintain your login session when using the Control Panel. These are deleted when you log out or close your browser.
Discord OAuth2 - We use Discord's OAuth2 flow to authenticate you. We do not store your Discord password or access token permanently.

We do not use tracking cookies, analytics cookies, or advertising cookies.

7. Data Storage and Security

All data collected by ReviewHub is stored securely on protected servers. We implement appropriate technical and organizational measures to protect your data, including:

Secure database configurations with access restrictions
Regular security assessments and updates
Limiting access to personal data to authorized personnel only
Avatar files stored with unique identifiers
Regular backups to prevent data loss

While we strive to use commercially acceptable means to protect your information, no method of transmission over the internet or electronic storage is 100% secure, and we cannot guarantee absolute security.

In the event of a data breach that affects your personal information, we will notify affected users and Discord within 72 hours of discovery.

8. User Data Deletion

You may request deletion of your personal data at any time:

Individual reviews - Server administrators can delete specific reviews using the /deletereview command
Your reviews in a server - Contact the server administrator to request removal
Complete data removal - Contact us through our Discord support server to request deletion of all your data across all servers, including stored avatars, profile data, and vote records

Upon receiving a valid deletion request, we will process it within 30 days. After deletion, your data will be permanently removed from our active systems. Some information may remain in secured backups for a limited time before being purged.

Please note that deleting your data will remove your public profile from the Website and all associated reviews.

9. Data Retention

Reviews and vouches - Retained until explicitly deleted by a server administrator or upon user request
Server configurations - Retained as long as the Bot remains in the server. If the Bot is removed, data may be retained for up to 30 days
Avatar files - Retained for the lifetime of the associated review
OAuth2 sessions - Session data expires when you log out or close your browser
Vote data - Automatically expires and is deleted 24 hours after the vote
Custom Bot requests - Retained for the duration of the service relationship
Inactive server data - May be automatically purged after 180 days of inactivity

10. Your Data Rights

Depending on your jurisdiction, you may have the following rights:

Access - Request a copy of the data we hold about you
Rectification - Request correction of inaccurate data
Erasure - Request deletion of your data
Restriction - Request that we limit processing of your data
Portability - Request your data in a portable format
Objection - Object to processing of your data
Withdraw consent - Withdraw your consent at any time

To exercise any of these rights, contact us through our Discord support server. We will respond within 30 days.

11. User Consent

By using ReviewHub, you provide consent for the collection and processing of your data as described in this Privacy Policy. Your consent is obtained when:

A server administrator adds the Bot to a Discord server
You interact with the Bot's commands, buttons, or modals
You submit a review, vouch, or report
You log in to the Website via Discord OAuth2
You submit a Custom Bot request
You vote on top.gg

You may withdraw your consent at any time by requesting data deletion or removing the Bot from your server.

Server administrators who add the Bot are responsible for informing their members about data collection.

12. Children's Privacy

ReviewHub is not intended for use by individuals under the age of 13, or the applicable age of digital consent in your jurisdiction. We do not knowingly collect personal information from children.

If we learn that we have collected personal information from a child under the applicable age, we will delete that information as quickly as possible. If you become aware that a child has used the Service, please contact us.

13. Third-Party Services

ReviewHub operates on Discord's platform and interfaces with third-party services. Your use of the Service is also subject to Discord's Privacy Policy.

Third-party services we use:

Discord API - Bot functionality and OAuth2 authentication
top.gg - Vote tracking for Vote Premium
MongoDB - Database hosting for storing review and configuration data
Web hosting provider - Hosting the Website

We do not sell or share your personal information with third parties for marketing purposes.

14. Regulatory Compliance

ReviewHub is designed to comply with:
